RSC Group is a nationwide leader in facilities management, offering HVAC, electrical, and general maintenance services across the United States. The organization operates a fleet of over 500 vehicles assigned to team members along with telematics devices, fuel cards, and location data to streamline service delivery.
To manage fleet operations, RSC utilized Enterprise Fleet Management, GeoTab, and Paycom. However, the absence of an integrated platform made it challenging to monitor vehicle utilization, work order efficiency, and cost control.
Despite having multiple systems in place, RSC faced several critical operational and financial challenges due to fragmented data and manual processes:
Dispatchers assigned work orders without considering driver proximity, leading to suboptimal routing, increased fuel usage, and higher operational costs.
No mechanism to identify underutilized or overused vehicles, complicating decisions on leasing, retention, or asset disposal.
Payroll, Fleet Management, Telematics, and Active Directory systems operated in silos, hindering unified reporting and decision-making.
Fuel and maintenance expenses weren’t consistently tracked against budgets. Manual reporting delayed insights into cost drivers such as driver habits and route inefficiencies.
Limited monitoring of driver workloads and trip frequency increased the risk of fatigue, OSHA non-compliance, and legal exposure.
Faulty or non-reporting telematics devices went unnoticed, increasing asset loss risks and maintenance issues.
Brickclay deployed a cross-functional team of data engineers, web developers, and analytics experts to design and implement a unified, data-driven solution. The approach included:
Integrated Enterprise Fleet Management, GeoTab, Paycom, VENTUS, and Active Directory into a centralized system.
Live map tracking with prioritized open work orders, factoring in driver proximity, vehicle utilization, and estimated travel time.
Dashboards comparing leasing, fuel, and maintenance expenses against budgets; identifying under- and over-utilized vehicles.
Monitoring driver location data against registered home addresses to detect unauthorized vehicle swaps and policy violations.
Automated insights into driving patterns, safety violations, and compliance status, fostering accountability and safety improvements.
Real-time alerts for unresponsive or malfunctioning telematics devices to enable timely maintenance.
Deactivation of software access and fuel cards for terminated drivers, ensuring security and cost control.
The implementation of Brickclay’s solution delivered measurable improvements across RSC’s fleet operations:
Enabled dispatchers to make faster, more informed decisions with integrated fleet tracking and work order prioritization.
Automated monitoring of vehicle usage, leasing, fuel, and maintenance expenses led to better financial oversight and asset management.
Behavioral reporting and location audits reduced safety risks and ensured OSHA compliance.
Proactive health monitoring minimized unplanned downtime and extended vehicle lifespan.
Eliminated manual reporting, reduced administrative overhead, and provided unified operational insights across departments.
Building on these improvements, RSC Group plans to:
Expand data integrations to include customer feedback and service quality metrics.
Implement predictive maintenance using machine learning models.
Develop a mobile app version of the fleet management portal for field staff.
Conduct quarterly reviews to fine-tune work order assignment algorithms and compliance protocols.
